How I Manage 20 Ad Accounts with Claude, ChatGPT and Meta Muse

The weekly system I use to run about 20 Google Ads and Meta Ads accounts, plus client social posting, from Claude, ChatGPT and Meta Muse: what I ask, when, and what still needs me.

I manage about 20 ad accounts: Google Ads and Meta Ads for clients, and for some of them the organic Instagram and Facebook posting too. A year ago that meant a browser with forty tabs, two Business Managers, a manager account, and a Friday that disappeared into spreadsheets. Now most of the work starts as a question in Claude, ChatGPT or Meta Muse, all connected to the same accounts through MCP Ads. This post is the whole system: how the accounts are organised, what I do on which day, which assistant I use for what, and the rules that stop an AI from doing something I did not ask for. The four posts it links to go deeper on each part.

Key takeaways
  • One connector URL gives Claude, ChatGPT and Meta Muse the same accounts, so the choice of assistant is about the task, not about where the data lives.
  • A fixed weekly rhythm matters more than clever prompts: the same audit on Monday, short checks mid-week, reports on Friday.
  • Changes happen only when I ask, new campaigns are created paused, and I read every proposed change before I approve it.

The setup: one connector, every account

MCP Ads is a hosted MCP server. I added one connector URL, https://mcp-ads.com/mcp-slim, to Claude, to ChatGPT as a custom connector in Developer mode, and to Meta Muse by pasting it into a message. Each of them now sees the same Google Ads, Meta Ads, GA4 and Search Console accounts. The quickstart walks through each client.

The part that matters for an agency is logins. My accounts do not all sit under one manager account or one Business Manager. Some clients gave me access through my agency MCC, some added my personal login, and one or two Meta accounts sit in a client's own Business Manager. MCP Ads lets me connect several logins per platform, and each write goes through the login that owns that account. I do not have to think about which login to use; I name the client.

The price is $49/month flat, with unlimited accounts and tool calls and a 7-day free trial. For me the flat part matters more than the number, because the bill does not change when I take on a client. Details are on the pricing page.

How I organise accounts per client

Twenty accounts is not twenty clients. Most clients have a Google Ads account and a Meta ad account, some have GA4 and Search Console as well, and a few have Instagram and Facebook Pages I post to. I group them into client workspaces in Agency OS, so a client (say, a bakery; the client names in this series are examples) means one Google Ads account, one Meta ad account, one GA4 property and one Page, not four IDs I have to remember. The first thing I ask in any new conversation is a list, so the assistant and I agree on names before we touch numbers.

Prompt
List every Google Ads and Meta ad account I have access to. Group them by client using the account names, show the currency and time zone for each, and flag any account that has spent nothing in the last 14 days.
  • Google Ads: google_ads_list_customers lists every account my logins can reach, expanding manager accounts into their client accounts.
  • Meta: meta_ads_list_ad_accounts lists every ad account, across every Business Manager my connected logins are in.
  • A team member who only needs to read gets a viewer role on the workspace; editors can make changes. Nobody gets write access by default.

Monday: the audit

Monday is the long session, and I do it in Claude because it handles a long audit across many accounts in one thread without losing the plot. I go client by client, and the questions are the same every week: what spent, what converted, what wasted money, and what changed.

For waste, agency_wasted_spend_report pulls zero-conversion search terms from Google Ads and high-frequency ad sets from Meta for one client in a single call. For Google Ads in more depth I follow the routine in managing many Google Ads accounts; for Meta, the one in managing many Meta Ads accounts. Monday ends with a list of proposed changes per client. I read the list, cross out anything I disagree with, and only then say "go ahead" for the rest.

Prompt
Audit the bakery client for the last completed week (Monday to Sunday) against the week before.
1. Google Ads: spend, conversions and cost per conversion by campaign; search terms with spend and no conversions in the last 30 days.
2. Meta: spend, leads and cost per lead by campaign; ad sets with frequency above 3.
3. Anything in the Google Ads change history I did not make.
End with a numbered list of changes you would make. Do not change anything yet.

One minute of Claude reading a live Google Ads account through MCP Ads, asking before it changes anything.

Mid-week: short checks

Tuesday to Thursday are short. I want to know three things: is any account over- or under-spending for the month, did anything stop delivering, and did a client's leads arrive. These are quick questions, so I usually ask them in ChatGPT, or in Meta Muse on my phone between other things. Budget pacing is the check that saves the most awkward conversations. google_ads_budget_pacing shows how each Google Ads campaign is tracking against its monthly budget, and google_ads_mcc_budget_pacing does the same across every account under a manager account in one call.

  • Which campaigns across all my Google Ads accounts are on track to overspend this month?
  • Did any Meta campaign for the dental client stop delivering yesterday?
  • How many leads did the gym client's lead form collect since Monday?

Friday: reports

Friday afternoon is reporting. Every client gets a short email with last week's numbers next to the week before, what I changed, and what I plan next. With about 20 accounts that used to be most of a day; now it is roughly an hour, most of which is me reading and editing. The full routine, including what I leave out, is in client reporting for many accounts.

For clients where I also run organic posting, Friday is when I check the content calendar for the next week and look for anything that failed to publish. That workflow has its own post: Instagram and Facebook posting for clients.

Which assistant I use for what

They all reach the same accounts through the same connector, so I pick by the shape of the task, not by loyalty.

  • Claude: the Monday audits, anything long or multi-step, building a new campaign, writing a month of posts. It keeps a long thread together well.
  • ChatGPT: quick questions during the day, and second opinions on a proposed change. The ChatGPT setup page shows how to connect it.
  • Meta Muse: on my phone, and for scheduled check-ins it runs on its own. The Meta Muse setup page has the one message that connects it.

Before and after, task by task

This is not a claim that AI does the job. It is the list of tasks where the work moved from clicking to asking. The judgement stayed with me.

TaskBeforeWith AI (what I ask)
Find wasted search termsExport the search terms report per account, sort and filter in a sheet"Search terms with spend and no conversions in 30 days, grouped by theme"
Add negativesCopy terms back into each campaign by hand"Add these as exact-match negatives to the campaign they came from"
Budget pacingOpen each account, compare spend to the monthly plan"Which campaigns will overspend this month at the current rate?"
Creative fatigue on MetaAdd frequency and CTR columns, scan every ad set"Ad sets with frequency above 3 and falling CTR over 14 days"
Lead exportDownload a CSV per form from each Page"Export this week's leads from the client's lead forms"
Weekly reportScreenshots and a sheet per client"Last completed week vs the week before, per client, in plain language"
Organic postsSchedule each post in each tool"Schedule these 12 posts on Instagram and Facebook on these dates"

Approvals and safety

The rules I work by are simple, and MCP Ads enforces most of them for me. Changes happen only when I ask for them. New campaigns are created paused, so nothing spends until I turn it on in the platform or ask for it to be enabled. Before any write I ask for the list of changes first, read it, and then approve. I also name the client and the account in every prompt that changes something. "Pause the campaign" is ambiguous with 20 accounts; "pause the Brand campaign in the bakery Google Ads account" is not. If you run a team, give people the viewer role until they need to edit. The agencies page covers the team side.

Frequently asked questions

Can one AI assistant really reach 20 different ad accounts?

Yes, if the connector it uses can reach them. With MCP Ads I connect each Google and Meta login once, and Claude, ChatGPT and Meta Muse can then work with every account those logins have access to. Each change goes through the login that owns the account.

Do my clients' accounts need to be under one MCC or Business Manager?

No. Several logins per platform can be connected, so accounts under your MCC, accounts shared with your personal login and accounts in a client's own Business Manager can all be used in the same conversation.

Will the AI change something I did not ask for?

Changes happen only when you ask, and new campaigns are created paused. I still ask for a list of proposed changes before approving any of them, and I name the client and account in every prompt that writes.

Which is better for managing ad accounts, Claude or ChatGPT?

Both work with the same accounts through the same connector. I use Claude for long audits and builds, and ChatGPT for quick questions and second opinions. Meta Muse is what I use on my phone.

How much does it cost to manage many accounts this way?

MCP Ads is $49/month flat with unlimited accounts and tool calls, after a 7-day free trial. Your Claude, ChatGPT or Meta Muse plan is separate.
